Tour Package Software and Tour Booking System: Itinerary Builder, Per-Person Pricing, Fixed Departures

Tour packages are the heart of most travel agencies and every tour operator. MaMITs Travel ERP is tour package software and a tour booking system in one. It gives you a six-tab tour package builder that covers the whole life of a package: what it is, what happens each day, what it costs per traveller, which dates it departs on, what is included and excluded, and how it appears on Google. Once published, the package gets its own landing page on your website with a live price calculator, and it can be quoted from the CRM with one click.

What is tour package software?

Tour package software lets a travel business create, price, publish and sell tour packages from one place. A good package tool holds the itinerary, the per-person price for each room sharing type, the departure dates and seats for group tours, the inclusions and policies, and the marketing text and FAQs that appear on the website. In MaMITs Travel ERP the package is also the item that feeds quotations and bookings, so the price you set once is the price your sales team quotes and your website charges. The same tool is often called tour booking software, tour operator software or a holiday package builder.

Two package types and two booking modes

Customisable package. The customer picks any travel date. This is the usual holiday package: Goa for 4 nights, Kerala for 6 nights, Dubai for 5 nights.

Fixed departure. The customer picks from the departure dates you publish, and seats are checked. This is the group tour model: Char Dham Yatra on 12 May, Ladakh on 20 June, Europe on 3 September.

Book Now mode. The package page shows a live price box and an online checkout. The customer builds the trip, sees the total and pays.

Enquiry only mode. The package page shows an enquiry form instead of a price box. The enquiry becomes a lead in the CRM with the package name attached.

You can mix these on the same website. Some packages sell online, some collect enquiries.

The six-tab tour package builder

Tab 1: Basic details

Name, URL slug, package code (created automatically as PKG-0001 if left empty), destinations (several allowed), themes, number of nights, package type, booking mode, status, cover image, gallery, featured flag, short and long descriptions, and highlights that appear as bullet points at the top of the package page.

Status is Draft or Published, and only published packages appear on the website. Featured packages appear first in listings with a “Featured” badge. After saving, the software warns you if the package is still a draft or has no price yet, so nothing goes live half done. (Figure 10.2)

Tab 2: Day-wise itinerary builder

One card per day with a title, the hotel stay, the transfer, a description, meals (Breakfast, Lunch, Dinner as ticks) and activities. Add, reorder and remove days. The same itinerary appears on the public package page, in the printable itinerary PDF and in the quotation built from this package. (Figure 10.3)

Tab 3: Variants and tour costing per person

Variants such as Standard, Deluxe and Premium, each with its own prices.

Per-traveller prices for each variant: double or twin sharing per person, triple sharing, extra adult, child with bed, child without bed, infant, and a group price. Cost prices sit next to sell prices and are visible only to roles with the cost permission, which gives you margins in quotations and reports.

Advance percent override lets you ask a different advance for this package than your default.

How the live website calculator works. Adults multiplied by the twin-sharing price, plus children with bed, plus children without bed, plus infants, then any active dynamic fare rule, then add-ons.

Example. Goa Beach Holiday, Deluxe variant: twin sharing 12,500 rupees per person, child with bed 8,000 rupees. For 2 adults and 1 child with bed the website shows 2 multiplied by 12,500 plus 8,000, which is 33,000 rupees. An active rule such as “Early bird minus 5 percent” is applied automatically and shown step by step to the customer.

An active dynamic fare rule, such as “Early bird minus 5 percent”, is then applied automatically and shown step by step to the customer.

Tab 4: Fixed departures with live seats

Each departure has a date, total seats, booked seats (updated automatically), a cutoff, a price display and an active switch.

Website bookings reduce available seats. The booking box shows “(N left)” and disables sold-out dates. Checkout refuses more travellers than seats left, so you are never overbooked. Cancelling a booking releases the seats.

Upcoming departures appear on the Departures page, on destination pages and in the Upcoming Departures section of the home page. (Figure 10.5)

Tab 5: Inclusions, add-on activities and policies

Inclusions and exclusions as lists, add-ons the customer can tick during booking (for example airport pickup, candlelight dinner, scuba session), a cancellation policy and terms. Add-ons come from the Add-ons and Activities master, so one add-on can be reused across packages. (Figure 10.6)

Tab 6: SEO, landing page and FAQs

A full SEO panel with live keyphrase and readability analysis, meta title and description, meta keywords, a social share image, an AEO “Quick answer” snippet for AI search, and FAQs that appear on the page and as FAQ schema. Every package therefore has its own optimised landing page without any extra work from a developer. (Figure 10.7)

Clone, print, themes and trash

  • Clone copies the whole package (itinerary, variants, departures, add-ons) as a new draft. Create “Goa Honeymoon” from “Goa Family” and change only what differs.
  • PDF or print itinerary produces a clean day-by-day itinerary to send to customers on WhatsApp or email. (Figure 10.8)
  • Themes such as Honeymoon, Adventure, Family and Pilgrimage power the Theme filter on your website. The themes master shows how many packages use each theme.
  • Delete moves a package to the trash (soft delete), so bookings and reports keep their history.

The public package page: an online tour booking system

Visitors see a hero image, gallery, highlights, a “Build your trip” price box, the day-wise itinerary, inclusions and exclusions, FAQs, reviews with star ratings and similar trips. In Book Now mode the price box asks for travel date (or departure), variant, adults, children and infants, shows the total with every fare rule and add-on listed, and leads to checkout. In Enquiry mode it shows the enquiry form. (Figure 10.10)

The package listing at /packages filters by destination, theme, duration, budget, type and booking mode, with sort and grid or list view. Destination pages at /destination/goa list every package, hotel and cab service for that place.

How a package flows into the rest of the system

In quotations. Choosing a package in a quotation fills in its lowest price and cost automatically, and per-person packages multiply by the number of travellers. The itinerary and inclusions are carried into the customer’s quotation page.

In bookings. A booking made from a quotation or from the website records the package, the fixed departure (seats reserved), the travel dates, the variant, the travellers and the add-ons. The GST invoice is created from the booking.

In pricing. The Dynamic Fare Engine applies season, weekday, early bird, last minute, demand, festival and flash sale rules to package prices without editing the package. Scope a rule to all packages, one destination or a specific package.

In analytics. The Sales dashboard shows package performance and top packages. The Operations dashboard shows departure seat fill and trips in the next 30 days.

In SEO. Package pages carry product schema, FAQ schema, breadcrumbs and aggregate ratings from reviews, and are listed in the XML sitemap with images. See the SEO Center.

How to create a tour package in MaMITs Travel ERP

The User Manual covers each step with a screenshot.

  1. Add the destination first under Destinations, with its cover image and best season.
  2. Open Packages and click Add. Fill in the name, destinations, nights, package type and booking mode on the Basic tab.
  3. On the Itinerary tab add one card per day with hotel, transfer, meals and activities.
  4. On the Pricing tab create at least one variant and enter the per-person prices. Enter cost prices if you want margins.
  5. For a group tour, add departure dates and seats on the Departures tab.
  6. Add inclusions, exclusions, add-ons and policies.
  7. Fill the SEO tab: keyphrase, title, description, share image, quick answer and FAQs. Watch the live score.
  8. Save and set the status to Published. The package page is live and appears in listings, search and the sitemap.

Who uses the tour package software: tour operators and travel agencies

Tour package questions answered

What is tour booking software?

Tour booking software lets customers and your team book tour packages. It stores the itinerary, variants, per-person prices and departures, and turns each website booking into a booking with travellers, seat reservation and a GST invoice. In MaMITs Travel ERP each package can be set to Book Now for instant online booking with checkout, or to Enquiry.

Is MaMITs Travel ERP tour operator software?

Yes. Tour operators use it to run fixed-departure group tours with live seat counts, to build customisable packages with variants and per-person pricing, and to sell them on their own website.

Can customers add activities to a tour package?

Yes. Add-ons from the Add-ons and Activities master, for example airport pickup, candlelight dinner or scuba session, can be ticked during booking and are listed in the price box total.

Can I price a package per person with different rates for children?

Yes. Each variant has prices for twin sharing per person, triple sharing, extra adult, child with bed, child without bed, infant and group. The website calculator and the quotation use these rates.

Can I sell a package online and also take enquiries?

Yes. Each package has its own booking mode. Set high-value or custom packages to Enquiry only and standard packages to Book Now.

How are seats managed for group tours?

Each fixed departure has total seats and booked seats. Website bookings reduce available seats, sold-out dates are disabled, checkout refuses more travellers than seats left, and cancellations release seats.

Can I copy a package?

Yes. Clone copies the itinerary, variants, departures and add-ons into a new draft.

Does every package get its own web page?

Yes. Every published package has a page at /package/your-slug with its own SEO title, description, share image, quick answer and FAQs, and it is included in the XML sitemap.

Can I print the itinerary for a customer?

Yes. PDF or Print itinerary gives a clean day-by-day document ready for WhatsApp or email.

Can I change prices for a season without editing every package?

Yes. Create a Season rule in the Dynamic Fare Engine, scope it to all packages or one destination, and the adjusted price shows on every affected package page with a transparent breakdown.

What happens when a website booking comes in?

The customer, the booking with items and travellers, the coupon usage, the seat reservation and a GST invoice are created, and a confirmation email is sent. Your team sees the booking in admin ready to work on.
